EPF name, date of birth or Aadhaar mismatch? Compare the actual records before submitting a correction. An incorrect UAN profile, an Aadhaar number that has not been linked, and someone else's Aadhaar linked to your UAN are different problems. They do not all follow the same approval route.

Official public guidance reviewed on 18 October 2026. The procedures below draw on the January 2025 profile announcement and the government’s 2025 year-end review; your current portal validation and case category still matter.

First, identify which record is wrong

Write the correct detail beside the value shown in Aadhaar and the value shown in your EPF profile. Correct the wrong record rather than changing correct information simply to make two screens match.

EPF name correction: start with this comparison

A message such as “details do not match” is a starting point, not a complete diagnosis. Open your own records and check the spelling, full date and field involved. Keep the exact error wording. A surname spelling difference is different from finding that the linked identity number belongs to another person.

Identify the problem before choosing a workflow
Your situationFirst useful check
Aadhaar is correct; UAN profile is wrongCheck eligibility for member self-correction, then the employer route if needed.
Both show the same correct details, but Aadhaar is not seededAsk HR to check the employer KYC route.
The wrong Aadhaar number is linkedTell HR this is an identity-linkage correction, not just a spelling change.
Aadhaar itself contains an incorrect detailUse current UIDAI update guidance for that record.
You cannot tell which member ID is affectedList the employment records before sending a request.

Illustrative comparison: Your supporting identity records say “Meera Sharma,” Aadhaar shows the same, but the UAN profile shows “Meera Shama.” Record those three values and identify the missing letter. Do not describe the problem only as “KYC not working.” This example illustrates how to explain a discrepancy; it does not decide which evidence EPFO will accept in an individual case.

Can I change my EPF name or date of birth without employer approval?

The Labour Ministry's 19 January 2025 announcement says members with Aadhaar-validated UANs can update specified profile details themselves without uploading documents. These include name, date of birth and gender, alongside several family and employment fields. It also identifies certain pre-1 October 2017 UAN cases requiring employer certification.

That is why two employees can see different workflows. “My colleague changed it instantly” does not establish that your record has the same validation or exception status. Check what your own authenticated member portal permits; do not assume every correction is self-approved.

Start through the official EPFO member portal. Read the current profile/correction functionality, proposed values and any displayed approval requirement. Keep the acknowledgement if you submit a request. The exact buttons can change, so an older screenshot should not override the live instructions.

What about an older request already pending with my employer?

The same announcement allows a member who qualifies for self-approval to delete an employer-pending request and use the simplified route. That condition matters. First confirm that self-approval is available for your case; do not cancel a valid pending request just because a general tutorial tells everyone to reapply.

Before replacing a request, retain its reference and current status. Ask which route will handle the replacement. This avoids losing the information needed to explain what changed if you later need support.

Aadhaar not linked to UAN, mismatch and wrong linkage are different cases

The Labour Ministry’s 2025 year-end review describes a member-portal Joint Declaration facility for first-time Aadhaar seeding and a facility for correcting a wrongly linked Aadhaar. It also explains these routes:

  1. Details match exactly: the employer can directly seed Aadhaar without another approval.
  2. Details do not match: the employer can forward the request online to the EPFO office for rectification.
  3. Employer unavailable: the member can approach the Public Relations Officer at the PF office, who can file the request online on the member’s behalf.

Do not confuse access to a member-portal facility with automatic approval. Read the current case requirements and status.

Example: “My Aadhaar is not linked” leaves two possibilities unresolved: no number is seeded, or an incorrect number is present. Check the masked information privately and explain which situation applies. Never post the complete number in a public forum to ask people to compare it.

What if my Aadhaar details are wrong too?

Use the official UIDAI website to find the current update process and supporting-document requirements for the Aadhaar field concerned. An EPF correction changes the EPF record; do not assume it also updates Aadhaar. Avoid choosing a false date or spelling simply because it lets a validation check proceed.

A practical checklist before you submit a correction

1. Compare

Identify the field and the record that is incorrect.

2. Choose

Use the member, employer or regional-office route that applies.

3. Confirm

Keep the reference and verify the corrected value after completion.

This worksheet is for your private preparation. The Invest Mate does not need your Aadhaar, UAN, password, OTP or identity documents to explain the process.

EPF Joint Declaration pending or rejected: what should I do?

First read the exact status. “Awaiting employer action,” an office-level pending request and a rejected request are different follow-ups. Ask for the specific pending action or rejection reason before submitting another copy of the same information.

A focused employer message can say: “Please confirm whether this request is for profile correction, Aadhaar seeding or correction of an existing Aadhaar link. The affected field is [field], the request reference is [reference], and the current status is [status]. Please identify the next action and any evidence required.” Fill those brackets only in the employer's legitimate private channel.

If the issue remains unresolved, EPFiGMS is EPFO's official grievance portal. It provides grievance registration, status checking and reminders, and generates a reference for a registered complaint. Give a clear timeline and relevant request details through the official process. A grievance is an escalation route, not a promise that the correction will be accepted.

Common EPF profile-correction questions

Will every correction finish immediately?

No universal completion time follows from the simplified process. Your validation, request category and required approvals matter. Track the actual status instead of relying on a promised “24-hour fix.”

Can I create another UAN to avoid the mismatch?

Do not treat a new identity record as a correction method. Explain the existing mismatch to the official provider and resolve the affected record. If your confusion involves multiple employment member IDs or a missing exit date, use our separate EPF date-of-exit and member-ID guide.

Does correcting my name guarantee my PF claim will be approved?

No. A claim can have other requirements or rejection reasons. After the record is corrected, inspect the claim's own status. See the EPF claim-rejection checklist for that separate problem.

Does a profile correction change my PF contribution balance?

Check contribution entries separately from identity details. Our EPF passbook explanation helps distinguish employee, employer and pension columns.
